Terms of Service

These Terms of Service (“Terms”) govern your access to and use of the Aspire Tournament platform, operated by Aspire Badminton & Activity Center (“we”, “us”, or “our”). By accessing or using the platform in any way — including registering an account, registering for a tournament, or browsing public pages — you agree to these Terms in full.

If you are accepting these Terms on behalf of an organization, you represent that you have the authority to bind that organization.

We reserve the right to amend these Terms at any time. Updated Terms will be posted with a revised effective date. Continued use of the platform after any change constitutes acceptance of the revised Terms.

To use Aspire Tournament you must:

• Be at least 13 years of age; if you are under 18, a parent or legal guardian must have reviewed and agreed to these Terms on your behalf
• Provide accurate, current, and complete information during registration and keep it up to date
• Not have had a previous account terminated by us for a violation of these Terms
• Not be prohibited by applicable law from using the platform

By creating an account you represent and warrant that you meet all of the above eligibility requirements. Tournament categories may impose additional age, gender, or skill requirements set by the hosting organization; you are responsible for confirming your eligibility before registering.

Each person may maintain only one account on Aspire Tournament. Shared accounts or accounts created on behalf of another individual are not permitted.

• Your email address must be verified before you can access authenticated platform features
• You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account
• You must notify us immediately of any unauthorized use of your account at info@aspiretournament.com
• We are not liable for any loss arising from unauthorized account access caused by your failure to keep your credentials secure
• Profile completion is required before you can register for tournaments; your Aspire Member ID (AT-XXXX) is assigned permanently upon first profile completion and cannot be changed or transferred

As a Participant on the Aspire Tournament platform, you agree to the following:

Profile Accuracy

All profile information you provide — including name, date of birth, gender, affiliation, and SLB registry number — must be accurate and truthful. False information that affects tournament eligibility (e.g., incorrect age for an under-age category) may result in immediate disqualification and account suspension.

Member ID

Your Aspire Member ID (AT-XXXX) is permanently assigned upon profile completion. It is personal to you, non-transferable, and will be used as your identifier across all organizations and tournaments on the platform. You may not share or misrepresent your Member ID.

Profile Changes & Snapshots

You may update your profile at any time via your account settings. However, updates to your profile apply only to future registrations. Tournament registrations capture a snapshot of your profile at the time of submission; past registration records are immutable and will not reflect subsequent profile changes.

Tournament Eligibility

You are responsible for ensuring you meet the eligibility requirements of each event category you enter (age group, gender, skill grade). The hosting organization may verify your eligibility and disqualify ineligible participants without refund.

Organizations and their administrators agree to the following:

• All organization information — including name, contact details, and bank account data — must be accurate and kept up to date
• Entry fees published for tournament events must be accurate and final at the time participants register
• Bank account details configured for bank transfer payments must be correct; we are not responsible for funds transferred to incorrectly configured accounts
• Bank transfer payment submissions from participants must be reviewed and actioned in a timely manner; unreasonable delays may cause participant disputes
• Organization Admins may view, edit, and export participant registration data only for tournaments within their own organization
• No cross-organization data access is permitted; each organization's data is isolated and confidential
• You are responsible for ensuring your tournaments comply with all applicable Sri Lankan laws and any relevant badminton federation rules

When you register for a tournament on Aspire Tournament, the following rules apply:

• Registration submissions are locked immediately upon submission — you cannot edit a registration once it has been submitted
• Only the hosting organization's admins may edit a registration after submission (e.g., to correct a category or entry details)
• Profile changes made after registration do not alter your existing registration record; a snapshot of your profile at the time of submission is permanently stored
• For doubles or team events, all partners must hold active accounts on the platform; partner invitations must be accepted before the registration is considered complete
• Partner invitation links are time-limited and expire after a set period; expired invitations must be re-sent
• Registering for a tournament constitutes acceptance of that tournament's specific rules and conditions as set by the hosting organization
• By completing registration you agree to the hosting organization's refund policy for that tournament, as published on the tournament's public Refund Policy page — review it before you register or pay

Entry Fees

Entry fees for each tournament event are set by the hosting organization and displayed clearly during the registration process. By completing a registration you agree to pay the stated entry fee.

Online Card Payments — Absterco Pay

The gateway service charge is a fixed processing fee charged by Absterco Pay and is not retained or absorbed by Aspire Tournament or the hosting organization. Your payment is confirmed automatically via webhook once Absterco Pay processes the transaction successfully.

Bank Transfer Payments

If you choose the bank transfer method, the hosting organization’s bank account details will be displayed during checkout. You must:

• Transfer the exact entry fee amount to the account shown
• Upload a clear proof-of-payment slip (JPG, PNG, or PDF) via the platform
• Include any reference information required by the organization

Bank transfer payments are subject to manual review and approval by the hosting Organization Admin. Payment is confirmed only after the admin approves your submission. Submissions with invalid, unclear, or fraudulent slips will be rejected.

Payment Receipts

An automated PDF receipt is generated and emailed to you upon payment confirmation for both payment methods.

Each tournament is hosted by an independent organization. Refund eligibility, amounts, deadlines, payout methods, and processing times are set by that organizer and may differ from tournament to tournament.

• The organizer's refund policy is published on each tournament's public page under Refund Policy — check whether refunds are offered and on what terms before registering
• If refunds are enabled, you may cancel your registration and optionally request a refund according to the published policy; approval and payout are at the organizer's discretion within those terms
• If refunds are not offered for a tournament, confirmed entry fees are non-refundable except at the organizer's sole discretion
• The 4.5% Absterco Pay gateway service charge is non-refundable under any circumstances, including when the organizer offers partial or full entry-fee refunds
• Bank transfer payments that are rejected (e.g., due to an invalid slip) have not been confirmed; no payment charge applies in this case and you may resubmit a valid slip
• In the event of tournament cancellation by the hosting organization, any refund decisions are solely at the discretion of that organization — Aspire Tournament is not a party to refund disputes between participants and organizers

You must not use the Aspire Tournament platform to:

• Create more than one account per person
• Provide false, misleading, or inaccurate profile information
• Register for a tournament event category for which you are not eligible
• Upload fraudulent, altered, or fabricated bank transfer proof-of-payment slips
• Attempt to access accounts, data, or platform features that you are not authorized to access
• Attempt to reverse-engineer, scrape, or abuse the platform API
• Interfere with the normal operation of the platform, including automated attacks or excessive request flooding
• Harass, threaten, or abuse other participants, referees, organization admins, or platform staff
• Use the platform for any purpose that violates applicable Sri Lankan law or the rules of any badminton federation governing your participation

Violation of these prohibitions may result in immediate account suspension or permanent termination without refund of any fees paid.

Tournament brackets, match schedules, and results are published publicly and are accessible without login. By registering for a tournament you explicitly consent to:

• Your display name and Aspire Member ID appearing in published brackets
• Your match results, scores, and bracket progression being publicly visible
• This data remaining publicly accessible as part of the permanent tournament record

This is consistent with standard competitive sports administration practice and is necessary for the operation of the platform. Aspire Tournament reserves the right to remove or modify public tournament data at its sole discretion.

The Aspire Tournament platform — including its software, design, trademarks, and content — is owned by or licensed to Aspire Badminton & Activity Center. All rights not expressly granted are reserved.

You retain ownership of any content you upload to the platform (such as bank transfer slips or organization logos). By uploading content you grant us a limited, non-exclusive, royalty-free license to use that content solely to operate the platform and provide the service.

You may not copy, reproduce, modify, distribute, or create derivative works from any part of the Aspire Tournament platform without our prior written consent.

The Aspire Tournament platform is provided “as is” and “as available” without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.

To the fullest extent permitted by Sri Lankan law, Aspire Badminton & Activity Center shall not be liable for:

• Tournament cancellations, postponements, or disputes between participants and hosting organizations
• Financial losses arising from tournament cancellations where the hosting organization does not issue refunds
• Decisions made by Organization Admins regarding registration edits, payment approvals or rejections
• Payment processing failures, delays, or errors attributable to Absterco Pay or banking institutions
• Data loss, service interruptions, or security incidents despite reasonable precautions
• Any indirect, incidental, special, consequential, or punitive damages, even if we have been advised of the possibility of such damages

Our total aggregate liability for any claim arising from your use of the platform shall not exceed the amount you paid in entry fees in the 12 months preceding the claim.

We reserve the right to suspend or permanently terminate your account at any time, with or without notice, if we determine that you have violated these Terms or engaged in conduct harmful to the platform, other users, or hosting organizations.

• Upon termination your access to the platform is revoked immediately
• Any pending tournament registrations may be cancelled at our discretion
• Data retention following termination is governed by our Privacy Policy
• Platform Admins may deactivate organizations and revoke Organization Admin access at any time
• You may also request voluntary account deletion by contacting info@aspiretournament.com

Sections of these Terms that by their nature should survive termination — including intellectual property rights, disclaimers, limitation of liability, and governing law — shall survive any termination of your account.

These Terms are governed by and construed in accordance with the laws of the Democratic Socialist Republic of Sri Lanka, without regard to its conflict of law provisions.

Any dispute arising from or relating to these Terms or your use of the platform shall be subject to the exclusive jurisdiction of the courts of Sri Lanka.

If any provision of these Terms is found to be invalid or unenforceable under applicable law, that provision shall be modified to the minimum extent necessary to make it enforceable, and the remainder of the Terms shall continue in full force and effect.
